Cancellations & reschedules.
Plans change. Here's how rescheduling, cancellations and refunds are handled — clearly, so there's nothing to worry about if your day moves.
1. The simple version
- Deposits are non-refundable — they hold your date and cover the cost of turning other clients away.
- Reschedules are usually free if requested with reasonable notice and a new date is available.
- Late cancellations (within 14 days of the event) may incur the full balance.
- If we cancel due to illness or emergency, you receive a full refund or a replacement artist.

2. If you cancel
Cancellations must be made in writing to hello@julievce.com.au. The date your written cancellation is received is the date used to calculate any fees.
- More than 30 days before the event — your deposit is forfeited; no further charge.
- 14–30 days before the event — your deposit is forfeited; if a final balance has been paid, 50% is refundable.
- Less than 14 days before the event — full booking total may be charged. We block out time for your booking and turn other clients away closer to the date.
- No-show on the day — full booking total is charged.
Where genuine hardship applies (serious illness, bereavement), please reach out — we will do our best to accommodate compassionately.
3. If you reschedule
We understand wedding plans shift and personal events change. Reschedules are accommodated wherever possible:
- More than 14 days before the event — your deposit transfers to a new date at no extra cost, subject to availability.
- Less than 14 days before the event — we will do our best, but availability close to the date is limited. A reschedule fee equal to 25% of the booking total may apply.
- Reschedules are limited to one (1) free move per booking; further moves incur a re-administration fee.
- The new date must be within twelve (12) months of the original.
If pricing has changed between your original and new date, the new pricing applies.
4. If we have to cancel
In the rare event JulieVCE has to cancel a booking — for example, serious illness, injury or family emergency — we will:
- Notify you as soon as possible.
- Where time allows, offer to introduce you to a qualified colleague who can deliver an equivalent service.
- Refund your full deposit and any prepaid balance if a replacement isn't possible or isn't accepted.
We carry no other liability beyond the amount paid for the booking. We strongly recommend wedding insurance to cover dependency-related losses (other vendors, venue costs).
5. Late arrivals on the day
If your arrival, dressing, or venue access is delayed:
- We will use the time available to deliver as much of the service as possible.
- We cannot guarantee the full service in a reduced window — finishes may be simplified.
- If we are obliged to wait beyond the booked end time, an overtime charge of $80 per hour, in 30-minute increments, will apply.
- If our next booking prevents us from staying late, we will leave at the originally agreed end time.
6. Weather & outdoor venues
For outdoor or weather-exposed venues:
- JulieVCE will travel and attend in all reasonable weather conditions.
- We are not liable for changes to your event arising from weather (postponement, indoor relocation, photography delays).
- If your venue becomes inaccessible due to extreme weather (flooding, road closures, severe storms), we will treat this as a force-majeure event under our Terms § 12 — reschedule or refund.
7. Illness & COVID-19
For everyone's safety:
- If you (the client) become unwell with a contagious illness shortly before your event, please notify us immediately. We may require a reschedule even at short notice; standard reschedule terms apply, but we will be as flexible as possible.
- If JulieVCE becomes unwell, we will follow the policy in section 4 above (replacement artist or full refund).
- We follow current Australian health guidance on infectious illness. If government health orders prevent us from attending, the booking is treated as force majeure.
8. Trial appointments
Bridal trials are paid in full at the time of booking and are non-refundable. Trials may be rescheduled once with a minimum of 48 hours' notice. The trial fee is separate from your wedding-day deposit and does not transfer.
9. How to make a change
To cancel or reschedule, email hello@julievce.com.au with:
- Your name, original event date, and booking confirmation number (if available).
- Whether you are cancelling or rescheduling.
- Two or three preferred new dates (for reschedules).
We respond to all cancellation and reschedule requests within 24 hours.
